Data protection policy

Effective date: May 12, 2025

INTIQUILLA HOTEL BOUTIQUE (hereinafter, “Intiquilla Hotel”), ​​with registered office at Santa Marianita (Manta), province of Manabí, Ecuador, and website https://intiquillahotel.com, is responsible for the processing of personal data that it collects and processes in accordance with the Organic Law on the Protection of Personal Data of Ecuador (LOPDP) and other applicable regulations.

1. Information we collect

We may collect and process the following categories of personal data:

  • Identification and contact: Name and surname, type and number of document (ID/passport), nationality, email, telephone number, address.

  • Reservation and stay details: dates, number of guests, room preferences, special requirements (for example, allergies or dietary restrictions that you voluntarily decide to declare), arrival/departure time, booking channel (web, OTAs like Booking/Airbnb/Expedia, phone/WhatsApp).

  • Payment and billing information: Payment method, last digits of the card (if applicable), cardholder name, and RUC/NIT for billing. (We do not store complete card data; authorized payment processors handle this data under their own security policies.)

  • Browsing data: IP address, browser type, pages visited, visit times, cookies and similar technologies.

  • Online Communication and Reputation: Messages sent via forms, WhatsApp, email, and social media; ratings or reviews you voluntarily post.

  • Facility security: Video surveillance in common areas and security incident logs.

  • Human Resources and Suppliers: Candidate or supplier data where applicable.

Sensitive Data: We will only process sensitive data (e.g., health/allergies) with your explicit consent and only to fulfill your request (comfort/safety during your stay).

2. How we collect information

 

  • Directly from you: when you make reservations (web, phone, WhatsApp), check in at reception (check-in), fill out forms, or contact us.

  • Automatically: through cookies/similar technologies when you browse our website.

  • Through third parties (managers or joint controllers): OTAs (Booking/Airbnb/Expedia or others), booking engine, PMS/Channel Manager, payment gateways, email marketing or CRM tools, always under data processing agreements.

3. Purposes of the treatment

We use your data to:

  • Manage reservations and hotel service provision: confirm/manage your reservation, check-in/check-out, billing, collections, handling requests, and customer service.

  • Comply with legal obligations: guest registration, tax, accounting and security obligations.

  • Operational and post-sales communications: Sending confirmations, reminders, relevant information about your stay, satisfaction surveys, and tracking lost items.

  • Security and fraud prevention: access control and video surveillance in common areas.

  • Consent marketing: Sending news, promotions, and tourism content related to Santa Marianita/Manta only if you authorize us. You can withdraw it at any time.

  • Improving the digital experience: Web analytics, site performance, and basic personalization through cookies.

Legal basis: contract execution (hotel services), legal compliance, legitimate interest (minimal security/analytics) and consent (marketing, sensitive data, certain cookies).

4. Sharing data with third parties

We don't sell your data. We may only share it with:

  • Technology providers (web hosting, PMS/Channel Manager, booking engine, payment gateway, email marketing/CRM, technical support), under confidentiality agreements and data processing order.

  • OTA platforms through which you have booked, in accordance with their own policies.

  • Competent authorities when there is a legal or judicial requirement.

  • Necessary collaborators for the provision of the service (e.g., transportation contracted for your order), informing you when applicable.

International transfers: Some providers may be located outside of Ecuador. In such cases, we require appropriate data protection safeguards in accordance with the LOPDP.

5. Rights of the holders

You have the right to access, update, rectify, delete, object, port your data and revoke your consent. You can also request limitation of the processing where appropriate.

To exercise them, write to us at reservas@intiquillahotel.com indicating: full name, type and number of document, right you wish to exercise and a means of contact. We will attend to your request within the timeframes provided by the LOPDP.

6. Data security

We implement reasonable technical and organizational measures to protect your data:

  • Website with HTTPS (SSL).

  • Backups and incident control.

  • Use of certified payment gateways (we do not store complete card data).

  • Video surveillance procedures in common areas with limited conservation and restricted access.

Despite our measures, no system is 100% foolproof. If we detect a security breach, we will notify you in accordance with the LOPDP.

7. Consent

By booking, staying, contacting us, or browsing our site, you declare that you have read and understood this Policy and, where applicable, authorize the processing in accordance with the purposes described. Consent to marketing and/or processing of sensitive data is optional and you can withdraw it at any time.

8. Data retention

We will retain your data for the periods necessary for each purpose and, in particular:

  • Reservations and guest registration: according to applicable legal/administrative requirements.

  • Facturación

  • Video surveillance: for a limited and proportional period (e.g., 30 to 90 days, excluding incidents).

  • Marketing: until you withdraw your consent or the internal period defined by Intiquilla Hotel elapses.
    Once the deadlines have been met, the data will be blocked, anonymized or deleted securely.

9. Processing of data of minors

Our services are aimed at persons over 18 years of age. If you are traveling with minors, their data will be processed exclusively for legal registration, security, and service provision purposes, with the authorization of their legal representatives.

10. Image, testimonials and social networks

We may ask for your consent to use your photos/testimonials for promotional purposes. Posting reviews or interacting on our networks means your content is governed by the policies of each platform.

11. WhatsApp and communications

If you communicate or accept communications through WhatsApp, you understand that it is a third-party channel with its own terms and conditions. You may opt out at any time by replying “STOP” or by requesting it through our contact channels.

12. Updates to this policy

We may modify this Policy to reflect changes to the law or our processes. We will post the current version at https://intiquillahotel.com indicating the updated date. We will notify you of material changes by reasonable means.
